Creating and organizing albums
Albums are the main way FWDLink groups photos, videos, documents, and other files. Whether you use them for a job site, a client gallery, or personal storage, a clear album structure makes sharing and search much easier later.
In the app, your library lives under Records (also referred to as Storage in some screens and marketing). Albums you create there are private to your account until you choose to share them.
Create a new album
- Open Records / Storage from the main navigation.
- Tap or click + New album (or New album / Create album, depending on the screen).
- Enter an album title. Use a name you will recognize months later (for example, a client name, address, or event date).
- Optionally add a short description so teammates or your future self know what belongs in the album.
- Confirm to create the album, then open it to start adding media.
Example
You finish a kitchen remodel. Instead of dumping every photo into one giant library, you create an album titled 123 Oak St — Kitchen remodel with a description like “Before, during, and after — May 2026.” When the client asks for updates, you already know which album to open or share.
Add photos, videos, and files
- Open the album.
- Use Upload, Add, or the camera/upload controls on that screen.
- Select photos, videos, or documents from your device, or capture new photos if the camera flow is available.
- Wait for uploads to finish before leaving the screen so nothing is left in a partial state.
Tips:
- Keep related media in the same album when you plan to share one link later.
- Mix photos and documents in one album when the story needs both (for example, signed PDFs next to progress shots).
- Large batches count against your plan’s storage — see Plans and storage overview.
Name and describe for search
Good titles beat vague ones. Prefer:

If the album supports tags or labels in your workspace, add a few consistent ones (client name, city, job type). Search often matches title, description, and tags.
Organize an existing library
You do not need a perfect system on day one. A simple pattern works well:
- One album per job, event, or client deliverable — not one album for everything.
- Rename albums when the scope changes (for example, when a quote becomes an active project).
- Split oversized albums when they mix unrelated topics — create a new album and move or re-upload the subset that belongs together.
- Archive or delete empty or duplicate albums so your list stays scannable.
Cover and first impression
Many album views show a cover image from the album. After you upload, open the album and confirm the cover represents the set well (a clear after shot, a title card, or the hero product photo). That helps you pick the right album quickly from a grid.
Album lock vs. everyday albums
Everyday albums are for normal storage and sharing. If you need a PIN gate in the app or device-side encryption, that is handled separately under Album lock — see How Album lock works. You can create and organize albums without turning Album lock on.
Quick checklist
- Create the album before a long upload session when possible.
- Use a searchable title and optional description.
- Keep one clear purpose per album.
- Upload, then skim the grid to confirm everything landed.
- Share only when you are ready (sharing is covered in Sharing an album).
Troubleshooting
I don’t see New album
Confirm you are signed in and opening Records / Storage in a workspace you can edit. Viewer-only access may not allow creating albums.
Upload fails or stops
Check your connection and available storage under Account Settings → Storage. Free up space or upgrade if you are at the plan limit.
I can’t find an album I created
Use search with part of the title or tag. Sort or filter by recent if the list is long. Confirm you are in the same workspace where you created it.
